連外國人都會錯!一次看懂4個商業英文email原則:別用good、bad、soon...
1. 要實際,不要籠統
要精確,最好能夠給事實。就像如果你說,今天很熱,聽到的人其實不知道多熱。但你說今天高溫39度,那就到底有多熱也就清楚了。比較這兩句:
(感覺)Mark’s work is bad. Mark的報告很糟。
(事實)Mark’s reports contain statistical and factual errors. Mark的報告有數字錯誤,也有和事實出入之處。
一般我們最熟悉的字good/bad/soon/many就是造成訊息模糊的元凶。調整最好的方法,就是給具體事實。
many→ 1,000 or 500 to 1,000
early → 5 a.m.
most → 92.9 percent
others → business partners
very rich → a millionaire
soon → 7 p.m., Tuesday
Good job →You’ve worked for a long time
2. 不濫用代名詞
代名詞的使用不恰當,很多母語人士也可能犯這樣的錯。來看例句:
(不準)Bill would like those delivered to Jake ASAP. He needs to make a decision right away.
Bill希望這些能趕快遞送給Jake。他必須立即做決定。
這裡的he是Bill還是Jake,這句話就讓人搞不清楚,誰要做決定。
(準)Bill would like those delivered to Jake ASAP. Jake needs to make a decision right away.
3. Write like you speak:怎麼說就怎麼寫
這是商業書信的通則:怎麼說就怎麼寫。我們平常講話不用attached please find/per our conversation這一類用字,信件裡也別用了,講白話文給人親切感,感覺活在當代。
(拗口)Please be advised that the conference will end at 4:00 instead of 3:30.
(白話)The conference will end at 4:00 instead of 3:30.
4. 不要老套
有些句子其實沒有錯,但看多了覺得陳腔濫調、像沒誠意的套版。
(老套)Please do not hesitate to contact me. 請別猶豫,隨時可以聯繫我。
還不如用口語化,直接一點的句子,來得更真誠:
Please call me. 請打電話給我。
Send me an email. 發郵件給我。
I would be glad to answer any questions. 我很樂意回答你的問題。
Please call me with any suggestions. 有任何建議請打電話給我。
